Notion Integration Privacy Policy Addendum

This addendum applies to users who choose to connect their Applify account with Notion through our Notion integration feature.

What We Collect When You Connect to Notion

When you authorize the connection between Applify and your Notion workspace, we collect and store:

From Notion's OAuth Process:

  • Access Token: Encrypted token that allows us to export data to your Notion workspace
  • Workspace Information:
    • Workspace ID (for technical purposes)
    • Workspace name (to display which workspace is connected)
    • Workspace icon (if available, for display purposes)
  • Bot Information: Bot ID assigned by Notion for our integration
  • User Information: Basic information about the user who authorized the connection (as provided by Notion's API)

Connection Metadata:

  • Date and time when you first connected to Notion
  • Last time the connection was used
  • Connection status and any error logs (for troubleshooting)

How We Use This Information

We use the collected information solely to:

  1. Export Your Data: Transfer your career growth plans, journey items, and milestones from Applify to your chosen Notion workspace
  2. Maintain Connection: Keep track of your integration status and ensure smooth operation
  3. Provide Support: Diagnose and resolve any issues with the Notion export feature
  4. Display Status: Show you which Notion workspace is connected in your Applify dashboard

Data Storage and Security

Encryption:

  • All Notion access tokens are encrypted using industry-standard encryption before being stored in our database
  • Connection data is stored securely using the same security measures as your other Applify data

Access Control:

  • Only you can disconnect your Notion integration
  • Applify staff can only access connection metadata for support purposes, never your actual Notion access tokens
  • We use the principle of least privilege - our integration only requests the minimum permissions needed

Data Retention:

  • Connection data is stored as long as your Applify account exists and the integration remains active
  • When you disconnect the integration, we immediately delete all stored Notion tokens and connection data
  • When you delete your Applify account, all Notion integration data is permanently deleted

Data Sharing with Notion

What We Send to Notion:

  • Only the career growth data you explicitly choose to export
  • Data is sent directly from our servers to Notion's API using your authorized connection
  • We do not store copies of the data sent to Notion

Notion's Privacy Policy:

  • Once exported to Notion, your data is subject to Notion's Privacy Policy
  • We recommend reviewing Notion's privacy practices before connecting

Your Rights and Controls

You have full control over your Notion integration:

Disconnect Anytime:

  • You can disconnect the integration at any time from your Applify settings
  • Disconnecting immediately revokes our access and deletes all stored connection data

Data Portability:

  • You can export your data anytime using our self-service export feature
  • No Notion connection required for standard data exports

Access and Deletion:

  • You can request details about what Notion connection data we have stored
  • You can request deletion of all integration data (same effect as disconnecting)

Third-Party Integration Risks

Please be aware that:

  • Notion Access: By connecting to Notion, you're granting Applify permission to create and modify content in your chosen workspace
  • Workspace Permissions: Other members of your Notion workspace may be able to view exported content depending on your workspace settings
  • Integration Limits: Our integration operates within Notion's API limits and terms of service

Changes to Notion Integration

If we make material changes to how the Notion integration works:

  • We'll notify you via email and in-app notifications
  • For significant privacy changes, we'll require re-authorization
  • You can always disconnect if you don't agree with changes
